Do you need a business email for your LLC?

Short answer: no, the law does not require an email address for your LLC. But you will end up needing one, and choosing it early saves some cleanup later. Here is what is required in Colorado, where an email address actually shows up, and how to pick one.

What Colorado requires

You form a Colorado LLC by filing Articles of Organization with the Colorado Secretary of State. The Secretary of State's business fee schedule lists the online filing fee for Articles of Organization as $50, and the fee schedule notes it was revised July 1, 2024 and is subject to change, so check the current number before you file.

Once you are formed, an LLC must file a Periodic Report each year. The Secretary of State's periodic report FAQ says reporting entities such as LLCs are required by law to file one every year, and the same fee schedule lists the online fee as $25. A late filing carries its own penalty, so put the date in your calendar.

Where an email address shows up anyway

Nothing says you must have a business email. Practically, though, you will be asked for one in many places:

  • Business filings and notices. The Secretary of State's online system and reminders for your periodic report go to the contact email on file. Use an address you will still have in five years.
  • Bank accounts. Business banking applications ask for a contact email.
  • Tax and payroll accounts. Anything you register for under the LLC will want an address.
  • Insurance, licensing and permits. Same story.
  • Invoices, quotes and your Google listing. This is where customers see it.

Because so many accounts attach to one address, changing it later is a chore. That is the real argument for picking a stable one now.

Personal or business address for the LLC?

Many one-person LLCs run on the owner's personal Gmail for a while. That works. The downsides are practical:

  • Business mail mixes with personal mail, and a state notice can get buried.
  • If you ever sell the business, bring on a partner or hand off bookkeeping, a personal address goes with you, not with the business.
  • A name like [email protected] on an invoice looks less settled than one that matches your trade.

Separate business mail is not a legal need. It is an organizing choice.

Your options

Own domain plus a mail service

Register yourllcname.com, then add Google Workspace or Microsoft 365. You own the domain and can add staff. It takes longer to set up, costs a domain fee plus a per-user fee, and suits you best if you want a brand website. The cost guide has current prices.

A short local address

We offer mailboxes at Colorado city .co domains, for example [email protected] or [email protected]. You choose a name and a password. There is no domain to buy and no DNS, and setup takes about five minutes. It works in any IMAP and SMTP mail app and in webmail. Personal names are $19 a month ($190 a year) in every city. Trade and category names cost more.

The honest tradeoff: you do not own the domain, so if you cancel, the name is held for 90 days and then released. If you want your own brand domain with many staff seats, buying your own domain and using Google Workspace or Microsoft 365 is the better choice. A sensible way to choose

  1. Decide whether you will have a website under your own brand domain soon. If yes, start there.
  2. If you are a solo operator who mainly needs a clean, memorable address, a short local one is quicker.
  3. Whichever you choose, use that one address for everything official, so there is a single place to look.

Names that work for an LLC

You usually want one of three patterns:

  • Your name: [email protected]. Easy, personal, travels with you.
  • Your role: office@ or hello@. Good if more than one person may read it.
  • Your trade: plumber@ or electrician@. Memorable, but a trade name is one per city, so check whether it is still open. These cost more, at 3x the city base.
